What Is an X Report in a POS System?

An X Report gives you a real-time snapshot of register activity during a shift, without closing it. It shows how things are going up to that point, including sales totals, payment types, and transaction counts.

Think of it as a mid-shift progress check for managers or cashiers.

Why Use an X Report?

The X Report is a quick way to keep tabs on sales performance without interrupting operations. It’s especially useful if you need to monitor how a shift is progressing, check if cash levels are getting high, or review payment trends before the end-of-day closeout.

Unlike a Z Report, which finalizes and resets the register totals, the X Report is strictly informational. It doesn’t affect the system’s numbers or trigger any back-end actions.

What You’ll Typically See in an X Report

While the exact layout depends on your POS system, most X Reports include:

  • Total Sales – Gross and net sales for the current shift
  • Sales by Category – Useful for tracking product performance
  • Returns and Refunds – Showing quantity and dollar value
  • Payment Breakdown – How much came in via cash, card, gift card, etc.
  • Transaction Count – Number of sales processed
  • Cash Drawer Activity – Times opened, expected cash in drawer
  • Discounts or Promotions – Applied during the shift

Some systems also include user-specific data, so if multiple employees are using the register under their own logins, the report can break out performance by user.

How and When to Generate an X Report?

POS systems typically let you print or view X Reports on demand. You might access it from the register screen, a manager dashboard, or through the POS app. Some platforms also support scheduled or threshold-based reports, for example, every two hours or after hitting a sales milestone.

This flexibility makes it handy for shift changes, surprise cash counts, or just keeping an eye on things during a busy afternoon.

  • Run X Reports before a shift change to give incoming staff a clear handoff
